Program Associate and Operations Associate Job Descriptions

National - Remote


The Funders’ Collaborative on Youth Organizing (FCYO) seeks highly-organized, passionate, and multi-talented candidates with a commitment to supporting youth-led social justice and skills for organizational administration to fill two new positions: Program Associate and Operations Associate. The Program Associate and Operations Associate will manage financial, administrative, and logistics support to the organization’s expanded programming. Ideal candidates bring a strong commitment to social justice issues, attention to detail, eagerness to work in the youth organizing sector, experience with meeting logistics and administrative duties, and the ability to thrive and succeed in a dynamic, fluid workplace environment. FCYO is a fully remote organization. Staff can be located anywhere in the US. Some travel required though FCYO is conscious of COVID-safety and will continue to monitor the ongoing conditions.

Program Associate 

Position Summary:

The Program Associate (PA) will directly support our GenPower Labs program, reporting directly to FCYO’s Program Director and working closely with the Program Manager and Operations Manager. GenPower Labs is a multi-year, three-tiered grantmaking and capacity building program that supports youth organizing groups to build the capacities needed to create transformative change. The PA will support the GenPower Labs program through grant management, grant partner communication, in-person event logistics and planning, and online meeting coordination. 


Responsibilities:

  • Grant Management (20%): The PA will coordinate communication between FCYO and our GenPower Labs grant partners. This includes managing grant agreements and payments and ensuring strong ongoing communication between FCYO and our grant partners. 

  • Program Logistics (60%): The PA will coordinate logistics for GenPower Labs program activities. This includes scheduling and coordinating regular online cohort meetings and training sessions. The PA will also work with program staff to manage the logistics for in-person convenings. This includes identifying sites, booking travel and accommodations, coordinating with vendors, coordinating transportation, and providing on-the-ground support to manage logistics of events across the country as well as helping to shape the overall events.

  • Administrative Support (20%): The PA will provide administrative support to the Gen Power Labs program and FCYO’s Program Director and Program Manager. This includes scheduling meetings, managing calendars, communication with the GenPower Labs cohorts, and other administrative duties as assigned.


Qualifications

  • A minimum of three years of relevant work experience in a professional environment

  • A deep commitment to supporting young people advancing social, racial, economic, and gender justice

  • Experience with in-person and online event and meeting coordination

  • Excellent organizational skills, attention to detail, and demonstrated poise under pressure

  • Strong aptitude for, and interest in, administrative, financial, and operational processes

  • Experience with Office 365, Google Suite and ability to learn other software as needed

  • Excellent written and verbal communication skills

  • Strong interpersonal skills with the ability to build relationships and communicate effectively and professionally with a diverse range of people

  • Handles multiple priorities and meets deadlines, and anticipates and proactively responds to work requests

  • Demonstrates positive attitude and values, collaboration, and teamwork

  • Must be flexible to work some evenings and weekends around convenings and conferences


Operations Associate

Position Summary:

The Operations Associate (OA) will support FCYO’s operations and administrative capacity, helping to maintain a strong and well functioning organization. The OA will report to the Operations Manager and work closely with the Associate Director and Climate Fund Program Manager. The OA will support FCYO’s operational capacity through financial management, grant and contract management, meeting scheduling, systems operation, and other administrative duties as assigned. In addition, the OA will support two FCYO programs, YO-CARE and the Taking Action for Power Fellowship, with event planning and logistics. 


 Responsibilities:

  • Financial Management (20%): The OA will work closely with the Operations Manager to support the organization’s financial management. Specific responsibilities include, collecting and reconciling credit card reports, collecting and submitting check requests to our fiscal sponsor, and tracking vendors and payments.  

  • Grant and Contract Management (20%): The OA will assist with FCYO’s outgoing grant and contract management. This includes ensuring grant agreements are signed, grants are paid, and grant reports are collected. The OA will also help manage FCYO’s contracts and payments to consultants and vendors.

  • Administrative Support (20%): The OA will provide overall administrative support to FCYO. This includes scheduling meetings, managing calendars, and other administrative duties as assigned. In particular, the OA will support the Executive Director with scheduling and other administrative tasks. 

  • Logistics (40%): The OA will help coordinate meeting and event logistics with a particular focus on our YO-CARE and Take Action for Power Fellowship cohorts. This includes scheduling and coordinating regular online cohort meetings and training sessions. The OA will also work with program staff to manage the logistics for in-person convenings. This includes identifying sites, booking travel and accommodations, coordinating with vendors, coordinating transportation, and providing on-the-ground support to manage logistics of events across the country as well as helping to shape the overall events.

Physical Demands

Candidates must have the ability to communicate via voice telephone and teleconference, read and understand written communication, and generate written communication manually and using a computer. Candidates must have the ability to travel by airplane, and handle on-the-ground logistics for convenings, traveling and meeting with multiple vendors and transporting meeting materials. Candidates must also have the ability to sit at a desk for 2-3 hours at a time, lift and move documents and supplies not to exceed 25 lbs., and bend to file and retrieve documents.

 

Travel Requirements: 2-5 days of national travel per month. FCYO is anticipating resuming travel in summer 2021.

Location: Remote

Job Type: Full-Time, exempt.

Start Date: August 1, 2022 

Compensation:  Salary is $65,000-$75,000 commensurate with experience. A full benefits package is included.
